Site Manager/County Extension Agent Information

The site manager will:

• Coordinate the planning and implementation of Walk Across Texas process for a group or organization.
• Act as the point of contact with the county Extension agent.
• Send contact information for all captains, participants by e-mail, fax, or mail.

The county agent will provide:

• An implementation manual.
• Training to help site managers implement Walk Across Texas in your organization.
• Provide packets for teams; if there is no agent or if there is a very large number of participants, site manager assistance may be needed with this.
• Answer questions and provide assistance as needed.

Steps for Site Managers

Step 1

Identify one or two people in your group to be site manager(s) and point(s) of contact for Texas county Extension agent.

Step 2

Plan with Extension agent to set specific dates about 2 to 3 months before Kick-Off for:

• Site manager training
• Team captain training
• Publishing and marketing
• Team registration
• Kick-Off, Mid-Way, and Recognition events

Step 3

Form sub-groups, if necessary, (Note: site managers may choose to manage alone) to plan and implement:

• Publicity and marketing
• Recruitment
• Training
• Events
• Recognition certificates, proclamations*, prizes* (*optional)

Step 4

Tell the county Extension agent the number of team packets you think will be needed for your organization.

If you have no Extension agent, you may print the forms, assemble your own team packets and do Walk Across Texas anyway; you may instruct team captains to enter information on the website http://walkacrosstexas.tamu.edu. All of the needed forms may be printed from http://walkacrosstexas.tamu.edu.

Each team packet should include:

• For captain: Cover/Sign-Up letter, Team Registration Form, Captain’s Log, Individual Registration Form, Individual Mileage Log, Wrap-Up Form and Mileage Equivalents.
• For seven team members: Cover/Sign-Up letter, Individual Registration Form, Individual Mileage Log, Wrap-Up Form and Mileage Equivalents.

The items to include in each team packet are:

  This editable letter allows you to provide general information to Walk Across Team captain and seven team members including dates of events.
  • Print and/or copy a total of 8 copies.
  • Place this on top of each member packet as well as your own
• Team Registration Form –

  Team Captain uses this form to list team contact information and team name. E-mail, fax or send this information to county agent.
  • Print one for Team Captain only.
  • Insert your name and your contact information.
  • Sign up 7 team members using this form.
  • Have members sign up and include their contact information.
• Team Captain’s Log –

  Team Captain uses this form to record team weekly mileage totals for self and members. Captains use this to enter team mileage at http://walkacrosstexas.tamu.edu.
  • Print one for Team Captain only.
• Individual Registration Form –

  • Print and/or copy eight: One for captain and one for each member.
  • Everyone, including the captain, must complete this form, including the signature box.
  • Members turn these completed forms into captain.
  • Captain uses completed Individual Registration Forms to enter everyone’s information on http://walkacrosstexas.tamu.edu.
• Individual Mileage Log –

  • Print and/or copy eight: One for captain and one for each team member.
  • Captain and members write their daily mileage on this log.
  • If your team wants to try losing weight while doing Walk Across Texas, have team members turn in the number of pounds lost to your team captain along with their mileage. Pounds lost can be entered at the same time your captain enters the mileage each week.
  • At the end of the week, members call, fax or e-mail mileage to captain.
  • Captain enters everyone’s mileage at http://walkacrosstexas.tamu.edu.
• Wrap-Up –

  • Print and/or copy eight: One for captain and one for each team member.
  • Everyone completes this and returns to captain after Walk Across Texas ends.
  • Captain enters everyone’s information on http://walkacrosstexas.tamu.edu.

  • Print and/or copy eight: One for captain and one for each team member.
  • This gives captain and participants a number of ways to count their miles.

Step 5

Recruit team captains.

• Provide captains with team packets.
• Ask them to complete Team Registration Form.
• Tell them training date.

Step 6

Train team captains how to:

• Recruit and sign up seven members using the Team Registration Form.
• Explain how Walk Across Texas works and why it is important to increase physical activity.
• Send captain and member contact information to Extension agent via e-mail, fax, or mail.
• Give team captains and members their packets with the Cover/Sign-Up Letter, Individual Registration Form, Individual Mileage Log, and Wrap-Up Forms.
• Use each form.
• Collect Individual Registration Forms from team members.
• Register team. Your team captain must have these items ready to enter information on http://walkacrosstexas.tamu.edu.
  • Completed Team Registration Form.
  • Team name.
  • An easily remembered password. Please write the password down in a place you can see each time you go to website to enter information. The password must be entered exactly the same each time. For example, if your password is Road toads, Road toad will not work.
  • First name of each team member.
• Change information after it is entered on website including how to change team members if someone drops out.
• Enter weekly mileage from team members.
• See team and group progress.
• Get help with problems.
• Support team members during the eight weeks.
• Edit and complete Recognition Certificates for team members and captain.
• Collect and enter Wrap-Up form after Walk Across Texas is over.

Step 7

Plan a Kick-Off Event to sign up more teams and walk first mile.

Step 8

Plan a Mid-Way Event to motivate everyone to keep walking.

Step 9

Plan a Recognition Event to present Recognition Certificates.

• Enter name, etc. and print enough Recognition Certificates (PDF) for every participant.
• Organize special recognition and prizes (optional) for winning teams and volunteers.
